Heidelberg Materials is seeking an Office Administrator to join our team in Redmond, WA. The position reports to the Vice President/General Manager, Pacific Northwest Materials. This position provides administrative support to the senior management team and ensures smooth operation of our Redmond, WA, office.

What You'll Get to Do:

  • Prioritizes senior management team’s needs while maintaining high levels of discretion, integrity, and judgement when handling confidential and proprietary materials.

  • Serves as liaison between internal and external partners.

  • Prepare and modify documents including correspondence, reports, and presentations, involving Excel, Word, and PowerPoint.

  • Conduct research, draft memos, and record minutes during meetings.

  • Perform set-up tasks for meetings.

  • Manage meeting rooms space and calendars.

  • Prepares monthly expense reports in a timely manner while ensuring compliance to company policy.

  • Routing of invoices and follow up for approvals to be submitted to Accounts Payable.

  • Act as a liaison with the building management on any suite needs (e.g., carpet cleaning, light fixture replacement, office temperature, etc.)

  • Ensure the maintenance of all the office machines (printers, copiers, mail machine, etc.). Maintain supplies for the various office machines to ensure continuous, uninterrupted usage.

  • Responsible for the mail, FedEx/UPS shipping, interoffice mail, incoming and outgoing. Sorting and distributing of items to the appropriate parties.

  • Maintain the cleanliness and appearance of workspaces, office, and warehouse.

  • Maintain office supply system.

  • Organize logistics for meetings. Support planning and management around team events (including trainings, retreats, offsites, etc.)

  • Seek ways to simplify and improve work processes to achieve business results.

  • Performs additional duties and special projects as assigned.

Essential Experience and Skills:

  • High School Diploma or GED Certificate is required.

  • BS/BA in business administration or relevant field, preferred.

  • 3+ years of experience in providing administrative support to senior management levels.

  • Proven experience managing multiple projects simultaneously and autonomously.

  • Proficient in travel and expense report programs; Concur preferred.

  • Strong proficiency in Microsoft Office tools (Word, Excel, PowerPoint, and Teams)

  • Skill in prioritizing tasks in an environment of changing time constraints and deadlines.

  • Ability to take direction, exercise discretion, work independently, and anticipate the needs of others.

  • Strong organizational skills – ability to work independently within a fast-paced environment.

  • Strong event planning, administrative and organizational skills with excellent attention to detail

  • Excellent verbal and written communication skills

  • $28.32 - $35.76 / hour

Conditions of Employment:

Physical Requirements & Work Environment:

  • Work is primarily conducted in an office setting and may occasionally require the individual to walk around plant sites.

  • Ability to operate a variety of office equipment and computer systems; visual acuity required to read, verify, and enter various data from documents related to the work.

  • Prolonged periods of sitting at a desk and working on a computer.

  • Requires full-time physical presence in the office, Monday through Friday.
